Outlook Rules (wait, no it doesn't.. but we all have to use it for work).. OK, Rules for outlook can be set up to move around/mark as read, tag, etc emails that come in meeting a specific criteria.

Why would one want such a feature you ask? Consider the below Scenario.

At work, we have a bug tracking system. When a bug status is changed (e.g. from testing to failed) or a new bug is raised, the developers get an email to make them aware of it. The problem is, we have different statuses that don't need any action to be taken. It is also better to 'be made aware' of the bugs that are coming in when there is a chance to look at them without being distracted by them arriving in the inbox and diluting immediate tasks at hand (if you have 50 unread bug tracking emails in your inbox, you are less likely to spot and email flagged as urgent).

There are two filters that I have set up:

  1. Move emails that contain the text 'From: Mantis Bug Tracker' in the headers in to a 'Bugs' folder
    1. The email address that the mail comes from is for an internal employee, so I don't want to move all of the emails from them in to the 'Bugs' folder
    2. There is no option in the outlook rules to specify display name
  2. Mark the emails that contain the text 'ready for UAT (IT testing complete).' as read
    1. These emails are of no interest, but I want to keep a record of them, it's simply preference to mark them as read instead of delete

It's a pretty simple process to set up rules. Firstly, navigate to tools > Rules and Alerts

 

From this point onwards, it's pretty simple; select 'new rule' and follow the wizard
